Pharmacy inventory, batches, and hospital billing in one system

2026-08-28 · HospitalMgr · Digital Monster Uganda

A hospital pharmacy is not a supermarket with a white coat. Prescriptions arrive from doctors, some are insurance, some are cash, some are compounded, and batches expire. If inventory is a spreadsheet and the cashier is a different program, you will lose both stock and revenue.

HospitalMgr pharmacy includes a medicine list, categories, batches, stock alerts, suppliers, purchase orders, sales, expenses, and dedicated pharmacy reports (daily, monthly, inventory, usage logs). Stock alert is a working screen with the items that actually need a purchase, not a decorative badge.

Because prescriptions sit in the same product, a pharmacist sees the order in context of the patient. Because finance sits in the same product, a sale can become an invoice line instead of a second typing exercise. Accounting can then see the hospital’s month without a night of exports.

Standalone pharmacies and hospital dispensaries can use the same module. A group that also runs a boutique or general store already knows Digital Monster’s POS work; HospitalMgr is the clinical cousin of that discipline: scan, batch, receipt, report.

If you are searching for pharmacy management software in Uganda that still talks to a hospital record, this is the integration you want. Do not buy a retail POS and hope the medical superintendent will reconcile it to OPD numbers.

Controls that matter on day three

Near-expiry alerts. Supplier lead times on purchase orders. Separation of pharmacy expenses from hospital overhead. Role grants so a sales clerk cannot edit the medicine master without permission.

Batches are the product

HospitalMgr’s batch screen is built for the pharmacist: method, product name, batch number, then actions. Extra columns hide behind an expand control on a small device. Stock alerts, suppliers, purchase orders, and expiry lists follow the same pattern so the dispensary is not a spreadsheet with a white coat.

From prescription to receipt

A doctor issues a prescription. Pharmacy sees it. A sale can become an invoice line. Accounting sees the month. That path is why hospital billing and hospital stock cannot live in two products.
