How long does it take to implement hospital software — and is training included?

Enterprise vendors quote six to eighteen months because they are mapping a 400-bed teaching hospital onto a global template. A 40-bed mission hospital in Uganda does not have that calendar. HospitalMgr implementations are scoped to the counters you already run.
Week one is master data: hospital profile, users, roles, departments, a sample of medicines, invoice items, and a handful of real patients. Week two is reception and cashier on the live queue for half days, with paper as fallback. Week three is pharmacy and prescriptions. Laboratory follows when the bench agrees the printout.
Training is included in Digital Monster Uganda deliveries because untrained software is shelfware. We train by role. Receptionists never sit through payroll. Pharmacists never sit through antenatal unless they also run MCH. Doctors practise the visit they will do at 9 a.m. tomorrow.
Data migration is honest: we import what is clean. A decade of messy Excel is not a weekend job. Bulk patient import exists in configuration for structured files. Historical paper stays paper until you choose to scan documents onto the patient file.
Go-live is a date with a named in-charge, not a marketing slide. Support after go-live is local. That is the advantage of a Kampala company that also supports hotel, travel, microfinance, salon, and POS systems — we already staff for “the system is down at 7 a.m.”
What slows projects down
Unclear medicine prices. Two people who both believe they are the administrator. Insurance schemes with no payer list. Trying to turn on accounting before invoices are trusted. We sequence those on purpose.
Who we train first
Reception and pharmacy. Then the clinician’s visit. Then laboratory printouts. HR and full accounting wait until the queue is calm. Digital Monster Uganda has practised that sequence on hotel, POS, and microfinance go-lives — the 7 a.m. call is not new.
What “included training” means
Role sessions on your forms, not a generic LMS. Extra hires after go-live are support, not a free forever classroom, unless the contract says otherwise.
